Administrative Coordinator

Oahu Visits (OAV) | Honolulu, Hawaii

BAYADA Home Health Care is seeking a compassionate, organized, and dependable Administrative Coordinator to support our Medicare-certified home health office in Honolulu. This full-time role serves as an important first point of contact for clients, families, clinicians, referral partners, and visitors while helping the office team coordinate services efficiently and professionally.

The ideal candidate enjoys helping others, communicates with warmth and confidence, and can manage competing priorities in a fast-paced healthcare environment. They will bring strong attention to detail, sound judgment, and a commitment to protecting confidential information.

Responsibilities

  • Answer and triage incoming phone calls, route inquiries appropriately, and provide courteous support to clients, families, clinicians, and referral sources.

  • Greet visitors and create a welcoming, professional office experience.

  • Coordinate and maintain schedules for field clinicians and client services, escalating coverage concerns or scheduling changes to the appropriate team member.

  • Enter, update, and verify client, employee, referral, and scheduling information in company systems and electronic records.

  • Support referral intake and service coordination by communicating timely, accurate information to office and field staff.

  • Prepare correspondence, reports, meeting materials, and other documents as needed.

  • Maintain organized paper and electronic files in accordance with company policies, privacy requirements, and applicable healthcare regulations.

  • Assist with tracking required documentation, authorizations, appointments, and follow-up items.

  • Support payroll, billing, and other office processes by gathering and routing accurate information to the appropriate partners.

  • Work collaboratively with clinical, client services, recruiting, and leadership team members to support continuity of care and a positive client experience.

  • Participate in office meetings, training, quality improvement activities, and other team initiatives.

  • Perform additional administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; additional education in business administration, healthcare administration, or a related field is a plus.

  • Previous experience in an administrative, customer service, scheduling, medical office, or healthcare setting preferred.

  • Strong verbal and written communication skills, with the ability to interact respectfully with people from diverse backgrounds.

  • Excellent organization, prioritization, follow-through, and attention to detail.

  • Ability to handle confidential and sensitive information with discretion.

  • Proficiency with Microsoft Office and the ability to learn electronic medical record and scheduling systems.

  • Ability to work effectively both independently and as part of a collaborative office team.
