Entry-Level Administrative Coordinator – Assistive Care

Location: Linwood, New Jersey, with occasional travel to Toms River
Employment Type: Part time, hourly
Schedule: Approximately 10–25 hours per week; schedule to be determined
Compensation: $18.00 – $20.00 per hour

BAYADA Home Health Care is seeking an hourly, part-time Administrative Coordinator to support our Assistive Care office in Linwood, NJ, with occasional support at the Toms River office.

This is an entry-level opportunity for an energetic, organized, and people-oriented professional who enjoys keeping processes on track and helping a team succeed. The Administrative Coordinator will support office administration, employee onboarding, caregiver and client-facing communication, and local social media efforts. This position is primarily based in Linwood, with occasional travel to the Toms River office as needed.

Responsibilities

  • Support employee onboarding by maintaining checklists, gathering required information, coordinating background checks, and tracking next steps.

  • Assist with new-hire orientations and help ensure employees receive a welcoming, organized introduction to the office and BAYADA.

  • Monitor onboarding and performance-evaluation timelines and follow up on outstanding items to support timely completion.

  • Answer phones, take messages, and provide dependable phone support with a calm, friendly, and professional presence.

  • Welcome clients, families, employees, caregivers, and visitors and help create a warm first impression at both offices.

  • Provide front-desk coverage and support daily office flow.

  • Prepare outgoing mail, information packets, forms, and routine correspondence as needed.

  • Maintain accurate filing, data entry, onboarding records, and general administrative documentation.

  • Support office managers with routine administrative tasks and changing operational priorities.

  • Monitor office supply levels and help coordinate orders for approval.

  • Help maintain shared office spaces, including reception and conference areas.

  • Contribute to local office social media efforts by taking photos, identifying engaging content, and assisting with posts in accordance with BAYADA guidelines and office direction.

  • Bring energy, creativity, professionalism, attention to detail, and alignment with The BAYADA Way to every interaction.

Qualifications

Required

  • High school diploma or equivalent.

  • Strong phone presence and interpersonal skills.

  • Excellent organization, attention to detail, and follow-through.

  • Comfort using computers and learning office systems.

  • Working knowledge of Microsoft Word, Excel, and PowerPoint.

  • Ability to manage multiple tasks, follow established processes, and maintain accuracy in a fast-paced office environment.

  • Ability to work independently and travel occasionally to the Toms River office as needed.

  • Genuine desire to support a caring, service-oriented team environment.

Preferred

  • Previous administrative, receptionist, front desk, office support, onboarding, or customer service experience.

  • Experience in healthcare, home care, or another fast-paced service environment.

  • Experience with background-check coordination, employee records, data entry, filing, or administrative tracking.

  • Interest or experience in photography, social media, content creation, or community engagement.

  • A creative, upbeat approach to representing the office and connecting with the local community.

  • Onboarding checklists and background-check steps are organized, accurate, and completed on time.

  • Orientations and administrative follow-up are handled with professionalism and care.

  • Phone calls, visitors, records, supplies, and daily office needs are managed reliably.

  • Office social media content is timely, creative, and aligned with BAYADA’s values and brand standards.

  • The team can count on you to work autonomously, communicate clearly, and adapt as priorities change.

Schedule and Work Environment

  • Hourly, part-time schedule of approximately 10–25 hours per week.

  • Primarily office-based in Linwood, with occasional work at the Toms River Assistive Care office as business needs require.

  • Some travel to the Toms River office may be required.

  • This position is designed for an entry-level professional who is ready to build a strong foundation in office operations, onboarding, client and caregiver support, and community engagement.

  • As the Assistive Care offices grow, this role may provide opportunities to take on additional responsibility and pursue future career growth within office operations, client services, recruiting, or related areas.
